The classroom contribution drive checklist

Every step of a classroom money ask in order, from the approval email you send first to the summary you owe families in the week after it closes.

This is the checklist a second year room parent uses. It exists because almost every problem in a classroom contribution drive is created before the first message goes out: an amount nobody approved, a district cash policy discovered halfway through, a purpose so vague that families cannot tell what they are funding, or a deadline written as end of next week. Fix those four in the first stage and the rest of the drive is scheduling.

Work through it in order the first time and keep the last stage even when you are busy, because the closing record is what makes next year's drive easy and what protects you if anyone ever asks where the money went. It fits on two pages and every line is something you actually do, not something you think about.

How to use it

Print it or keep it open in a tab and work top to bottom the first time you run a drive. The first stage takes about forty minutes spread over a few days, mostly waiting on the teacher and the office. The second stage takes one sitting. The third stage is almost entirely scheduling, which is the point. The fourth stage takes half an hour and is the one most room parents skip, which is why so many classrooms start each September with no idea what the last drive raised.

Second year room parents tend to use only the first and fourth stages, because the middle two become habit. If you are handing the classroom to someone else in June, give her this checklist along with your handoff note and she will not have to rediscover the district cash policy the hard way.

Questions about this document

Does this work for a supply drive or a volunteer signup, not just money?

Most of it does. The first, third and fourth stages apply to any classroom ask, including chaperone slots and supply lists. Skip the payment and reconciliation lines and the rest holds up unchanged.

What if my school does not allow room parents to collect money at all?

Some districts route every dollar through the school office or the parent group treasurer, and that rule is not negotiable. Use the checklist to run the ask and the reminders, and hand the collection itself to whoever your policy names. The follow through work is still yours.

How early in the year should I run the first drive?

Late September or early October, once families know who you are and before the holiday stretch. A drive in the first two weeks of school competes with forms and supply lists and consistently underperforms.

The checklist names the work. Two stages of it can be automatic.

Stage one and stage four stay yours, because nothing gets teacher approval for you or writes the handoff note the next room parent reads in June.
