Terms of service

The agreement between MLJ, SASU and the schools, parent teacher groups and organizers who use RoomParentHub. In force from September 4, 2026.

1. Acceptance

By creating a RoomParentHub account, by using the application, or by continuing to use it after a change to these terms, you accept this agreement on your own behalf and on behalf of the school, parent teacher group or district council you represent. If you do not accept it, do not use the service. The person who opens an account confirms that they are authorized to bind the organization named on that account.

2. The service

RoomParentHub is a web application for organizing classroom support. It provides classroom rosters, signup lists with quantities, volunteer slots including field trip driver details, reminder sequences by email and text message, a contribution ledger for class funds, calendar feeds for claimed slots, CSV exports, and a read only summary view for teachers and parent teacher group boards. The service is delivered over the internet as software as a service. We do not hold, transfer or process school funds, and we are not a payment institution: contribution amounts are recorded for bookkeeping, and money moves through whatever account your group already uses.

3. Accounts and eligibility

You must be at least eighteen years old to hold an account. You are responsible for the accuracy of the information on your account, for the security of your credentials and for the actions of the co-organizers you invite. Tell us promptly at jimenezjulien42@gmail.com if you believe an account has been accessed without permission. Accounts are for a named organization and may not be resold or shared with an unrelated school.

4. Acceptable use

You agree to use RoomParentHub only for legitimate school and parent group organizing. You may not use it to send unsolicited commercial messages, to run political campaigning, to collect data about families for a purpose they were not told about, to publish another person's contact details without their consent, to attempt to gain access to another organization's classrooms, to probe or overload the infrastructure, or to reverse engineer the application. Reminder messages must relate to a list the recipient's family is genuinely part of. We may suspend an account that breaks these rules, and for a serious breach we may do so without notice.

5. Subscription and billing

Three plans are offered, billed monthly in United States dollars: One Classroom at $12 per month, covering a single classroom roster; Whole School at $35 per month, covering unlimited classrooms in one building with a parent teacher group workspace; and District Group at $79 per month, covering up to twelve schools with district level reporting. Prices exclude any applicable local taxes. Fees are charged in advance for each monthly period on the anniversary of the day the subscription started. We may change prices with at least thirty days' notice sent by email, and a change never applies to a period already paid for.

6. Cancellation and pausing

There is no school year commitment. You may cancel at any time from the billing screen, and the cancellation takes effect at the end of the current paid month. Because the school calendar has quiet periods, a subscription can also be paused over the summer and resumed in August without losing any data. Partial months are not refunded, except where a refund is required by law or where we have failed to provide the service for a sustained period. After cancellation, your account remains readable for thirty days so that the next organizer can export records, and it is then deleted.

7. Customer data

Rosters, lists, slots, messages and contribution records that you enter remain the property of your school or parent group. We process that data only to operate the service, to provide support you request and to meet legal obligations. We do not sell it, share it with advertisers or use it to train external models. Aggregated, anonymized statistics that cannot identify a person, a family or a school may be used to publish product benchmarks. You are responsible for having a proper basis to enter family contact details and for honoring any request from a family to be removed from a list.

8. Availability and support

We target availability of 99.5 percent per calendar month, excluding scheduled maintenance announced at least forty eight hours in advance. Maintenance is scheduled outside United States school hours whenever possible. Support is provided by email at jimenezjulien42@gmail.com and answered within one business day, Monday to Friday. Urgent problems affecting an event within twenty four hours are treated first.

9. Warranty disclaimer

The service is provided as it is and as it is available. To the extent permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose and non infringement. We do not warrant that the service will be free of interruption or error, that every reminder will be delivered by every mobile carrier, or that the service will meet a requirement we have not agreed in writing. You remain responsible for checking headcounts before an event goes ahead.

10. Limitation of liability

To the maximum extent permitted by law, our total liability arising from or connected to this agreement in any twelve month period is limited to the fees you paid in that period. We are not liable for indirect or consequential loss, including lost fundraising income, the cost of a cancelled event, reputational harm or the cost of substitute organizing effort. Nothing in this clause limits liability for fraud, for gross negligence or for any liability that cannot lawfully be limited.

11. Indemnity

You agree to indemnify MLJ, SASU against claims, damages and reasonable legal costs arising from your use of the service in breach of these terms, from content you publish through the service, or from your failure to obtain a proper basis for the family contact details you entered.

12. Changes to these terms

We may update these terms to reflect a new feature, a legal requirement or a change in how the service works. Material changes are announced by email and on this page at least thirty days before they take effect. If you do not accept a change, cancel before it takes effect. Continued use after that date means acceptance.

13. Governing law and jurisdiction

This agreement is governed by French law. Any dispute that cannot be settled amicably falls under the exclusive jurisdiction of the competent courts of Paris, France, subject to mandatory consumer protection rules in your country of residence. We will always try to resolve a problem by email before anything else.
